Senior Clearance

Parents/Guardians:

We are sending this memo to provide you with important information for our Seniors regarding the Senior Clearance process.

The following contains information to help make the next few weeks for Seniors and their families leading up to the Graduation as smooth as possible. Please read the enclosed material carefully.

Senior Clearance Process: Friday, May 28th, 8am to 3pm

  • ALL SENIORS MUST COMPLETE THE SENIOR CLEARANCE PROCESS. Please make prior arrangements to attend.
  • The Senior Clearance process is a procedure which takes place, district-wide, to ensure Seniors have completed the following:
    • Returned all library books, laptops/chargers, athletic uniforms, athletic equipment, performance attire, and/or musical instruments;
    • Cleared all club/program debts (ex. fundraising items/money);
    • Cleared all unexcused absences and tardies; and
    • Met all the necessary high school requirements to graduate.
  • Seniors will complete the clearing process with the following offices: ASB, Library, Attendance, Athletics, and Counseling Center.
  • What Seniors Can Begin Doing Now:
    • Seniors no longer using their textbooks and/or laptops and chargers can begin returning these items to the library as soon as possible if their teachers have confirmed that they no longer need them for class. The Librarian has sent messages home to all Seniors who owe any books and/or fines beginning their Freshmen year through their Senior year.
      • Any Senior who wants to know if they owe a library debt can call the school library at (619) 628-3630.
      • The library is open Monday, 8am to 2:30pm, and Tuesday through Friday, 8am to 4pm. Seniors are welcome to return books during any of these times.
      • Laptops and chargers can also be turned in on Friday, May 28th as part of the clearance process if Seniors currently still need these items for their classes.

*We understand that some Seniors may still need their laptops and textbooks to prepare for AP exams taking place after the Graduation Ceremony. We will work with these Seniors to ensure that they can participate in the ceremony and keep their laptops and textbooks as they continue to study for their AP exams. Their official diplomas, however, will be held in the Registrar’s Office until all school-issued items are returned.

  • Seniors who owe a uniform or instrument, should return the item(s) to the school as soon as possible or if lost, parents/guardians must make arrangements with the Athletic Director and/or Mariachi Director to clear the debt, which may include payment for the item(s).
    • To know whether you owe an athletic debt, contact the Athletic Director at (619) 628 – 3663 or email the Athletic Director at jason.snyder@sweetwaterschools.org+

*We understand that a few Seniors may still need their uniform for athletic contests taking place after the Graduation Ceremony. We will work with these Seniors to ensure that they can participate in the ceremony and keep their uniforms as they continue to compete. Their official diplomas, however, will be held in the Registrar’s Office until all school-issued items are returned.

  • Seniors owing any debt to a school club or school program should make arrangements with the club and/or program advisor to clear the debt.
  • If Seniors have any uncleared, unexcused absences, please have parents/guardians contact the Attendance Office as soon as possible. To update your attendance, please feel free to contact the Attendance Office at (619) 628-3604.
  • Seniors MUST also fulfill ALL SUHSD Graduation Requirements to be cleared by their counselor.

On Friday, May 28th, Counselors will clear Seniors by student alpha. Seniors will ONLY be cleared by their counselor if all of the items listed above have been signed off by each office. Please address all debts and/or fines PRIOR to checking in with your counselor on Friday, May 28th.

  • 8:30am – 9:30am = Mrs. Stephens: Last Name A – Fisher
  • 10am – 11am = Mrs. Gonzalez: Last Name Flohr – Macias
  • 11:30am – 12:30am = Mrs. Del Rosario: Last Name Maciel – Ramirez
  • 1 pm – 2pm = Mr. Tulao: Last Name Ramos – Z

Seniors will line up, maintaining social distancing, outside the front gate and enter through the entry gate closest to the Cafeteria to meet with their Counselor.

Loaner Cap and Gown Pick Up: Seniors who completed our Cap and Gown Loaner Google Survey, will check out a cap, gown and tassel unit in the Quad after checking in with their counselor. Tables will be set up in the quad.

***While Seniors may still participate in the Graduation Ceremony regardless of debts owed, they will not be issued their High School Diploma until they clear all debts.
